Event & Conference Transport in GIFT City

GIFT's event calendar runs on IFSCA conferences, exchange listing days, fintech summits and the biennial Vibrant Gujarat cycle that spills across GIFT, Mahatma Mandir and the Ahmedabad hotel belt. Event transport here fails for one reason more than any other: fifty vehicles arriving at a gated SEZ without bulk passes filed. Everything else is logistics you can plan.

How we run a GIFT event

  • Pre-event recce with SEZ security to agree gate lanes, staging bays and marshal contacts
  • Bulk vehicle-pass registration filed days ahead, with a change window for late additions
  • Branded delegate shuttles looping AMD, the Gandhinagar and SG Highway hotel belts, Mahatma Mandir and the towers
  • Onsite control-tower pod with named coordinators for the full event window
  • VIP and speaker cars held separately from the shuttle pool, with named chauffeurs

The surge problem in event weeks

Vibrant Gujarat and large IFSCA summits push demand 2-3x across GIFT and Gandhinagar simultaneously. A static fleet fails; surge pre-staging is the only pattern that holds.

  • Surge vehicles pre-staged at GIFT, Mahatma Mandir and the SG Highway hotel belt
  • Driver duty-hour compliance enforced across long event days with relief rosters
  • Live tracking dashboard shared with the event owner for the whole window
  • Post-event reconciliation with per-movement detail rather than a lump-sum invoice

The IFSC pass reality every buyer should price in

GIFT is a gated SEZ. Vehicle supply is not the constraint here — access is. Both the car and the chauffeur need current security clearance, and visitor vehicles must have their registration number filed with GIFT security before arrival.

  • Vehicle pass and chauffeur pass are issued separately and expire separately
  • A relief chauffeur who is not pre-cleared cannot enter, even in the same car
  • SEZ Processing Area access is cleared separately from the Domestic Tariff Area
  • Visitor vehicle numbers must be filed with security ahead of the arrival window
  • Commutec runs a ring-fenced IFSC-cleared pool with relief chauffeurs pre-cleared and expiry tracked on 90/30/7-day alerts

Frequently asked questions

How far ahead do event vehicle passes need to be filed?

Several days ahead for bulk registrations, with a late-change window agreed with SEZ security. Filing late is the most common cause of delegate delays at GIFT events.

Can you run shuttles between the hotels and GIFT?

Yes — branded delegate shuttles loop AMD, the Gandhinagar hospitality strip, the SG Highway five-stars, Mahatma Mandir and the GIFT towers on a published headway for the event window.

Do you provide onsite coordination?

Yes. Every GIFT event runs an onsite control-tower pod with named coordinators, plus a live tracking dashboard shared with the event owner.

How is event transport billed?

Per-movement reconciliation rather than a lump sum, so you can see vehicle-by-vehicle usage against the plan after the event closes.
